Event Policies

The Aramark Corporation has an exclusive services contract with the City and County of Denver, Arts & Venues Denver Division at Red Rocks Amphitheatre. This agreement provides Aramark exclusive food and beverage rights at Red Rocks to include the Visitor Center, Amphitheatre and Trading Post. Please be aware that the guests or planners of private events cannot bring food and beverage into the facility.

Aramark is responsible for the quality and freshness of its food. All buffets will be attended for 90 minutes. After this time, the buffet tables will be cleared with the exception of beverage and dessert stations. Liquor and Insurance Regulations prohibit any left over food and beverage to be taken from the Visitor Center after an event.

We offer a complete selection of beverages to compliment your function. Aramark has the exclusive rights too provide and control alcohol throughout the building and to retail all sales from alcoholic beverages. Please not the alcoholic beverages and service are regulated by the State Liquor Control Board. Aramark, as licensee, is responsible for the administration of these regulations.

 

Menus

Because every event varies in purpose, detail and budget, we are happy to offer custom menu planning to meet your particular needs or theme. Please be aware, the entrée selection of all menus, except buffets, is limited to three choices unless dietary needs or religious holidays dictate otherwise.

 

Menu selection and other details pertinent to your function should be submitted to the catering department at least one (1) month prior to the function date. The sales executive handling your event will assist you in selecting the proper menu items and arrangements to ensure a successful event.

 

Contracts

A signed copy of the contract outlining all catering services requested must be returned to Aramark catering office prior to the event, before services will be confirmed. The signed contracts stated terms, addendum, and specific function sheets constitute the entire agreement between the client and Aramark

 

Secondary agents, acting on behalf of the primary client receiving the food services may sign the contract in their behalf only with full payment in advance and an approved line of credit for additional orders.

Guarantees

A guaranteed number of attendees are required 3 business days (Monday – Friday), prior to the date and time of the function. The client will be charged for the guaranteed number at the 3 day deadline. If the guarantee is not received as stated, Aramark reserves the right to charge for the number of persons specified on the contracted event order. The guarantee is not subject to reduction after the 3 day deadline.

Aramark serves 5% over the guarantee to a maximum of 20 guests. In the event attendance exceeds the number of guests specified in the final guarantee, Aramark is not responsible or liable for serving additional guests but will on a first-come-first-serve basis and as circumstances allow. Any increases in guest numbers given after the final deadline may be subject to additional charges.

Cancellation Policy

Cancellation of contracted services must be made in writing a minimum of 60 days prior to the scheduled function. If the event is cancelled prior to 60 days, portions or all of the deposit may be retained.

If an event is cancelled by mutual consent of Aramark and the client due to inclement weather or other mitigating circumstances, only the actual expenses of food and labor incurred during the preparation will be charged.

Aramark is not responsible for the scheduling of public events at Red Rocks Amphitheater. In the event that the building’s management schedules a public event that requires the space be reserved for the public function, the Client may reschedule their function for another available date or cancel the event. Aramark has no liability to the Client and will refund all deposits received if the Client chooses not to reschedule their function.

Alcohol Policy

Aramark is the holder of the liquor license for Red Rocks Amphitheatre, Trading Post and Visitor Center. Aramark retains the exclusive right and responsibility to serve and control alcohol throughout the venue and to keep any profit generated from the sale of alcohol. The only alcoholic beverages that can be brought into the venue red donated products deliver with a zero invoice charged to Aramark at Red Rocks for a registered non-profit organization and that is used for sampling by a company who produces or sells the product. The donation of such product must follow the state liquor laws and Aramark policies. All other alcohol must be purchased through Aramark. Please work with your sales manager to discuss your beverage selection.

Rules and Regulations

  • No alcoholic beverages may be brought onto the premises from outside sources.
  • We reserve the right to refuse alcoholic services to intoxicated or underage persons.
  • No alcoholic beverages can be removed from the premises of Red Rocks Amphitheatre, Trading Post, or Visitor Center.
  • All alcoholic beverages served on premises must be consumed or disposed of onsite.
  • Donated beverages for sampling with written notice to Aramark form the distributor at least 45 days prior to the event and with Aramark approval. The distributor must list the product, amount and deliver. Corkage fess will be applied and are subject to a 19% service charge. Aramark does not take responsibility for any leftover product after an event.

    Corkage Fees

    $150.00 for each domestic keg
    $225.00 for each premium keg
    $2.00 for each bottled beer
    $1.00 for each bottled water or soda
    $10.00 for each bottle of wine
    $15.00/hr. staff fee.

    Corkage fees are applicable to all donated used or unused products. Aramark is responsible for all alcoholic beverages and must serve the donated product.

Pricing

Prices quoted do not include 19% service charge or applicable sales tax unless otherwise noted. Due to changing market prices our menu prices are subject to change without notice; however, guaranteed prices will be confirmed 45 days prior to the event with a signed contract, banquet event order and 75% deposit. If the client is a tax-exempt organization, Aramark requires a copy of the Colorado and City and County of Denver Tax Exempt Certificate. Without certification taxes will be billed on all invoices.

Labor

Additional attendants may be requested over and above our normal staffing level for your event. The charge is $20.00 per hour, per attendant, with a four-hour minimum. Charges for specialized services such as carvers, chefs and bartenders are noted on the banquet menus.

Any unusual services requirements, late night events or minimal revenue events may incur additional set-up and labor charges. These issues and will be discussed with you when your function is being planned.

Theft and Property Damage

The client is responsible for theft or damage to Red Rocks property by the client’s guests, attendees, employees, independent contractors or other agents under the clients’ control.

Aramark is not responsible for damage or loss of any articles left unattended in a function room. Charges incurred by damage or loss of any items contracted for or by the client though an outside vendor (i.e. linen, decorations, floral, etc.) are the sole responsibility of the client.

Payment & Billing

An initial deposit of 75% is due at the specified date on the contract letter to guarantee catering services. A signed copy of the contract is also due at this time. Based on the final guarantee, full payment of the balance due is payable prior to the event. Payments are accepted in cash, certified or company check, or by an authorized credit cared. Red Rocks sales tax is 4.6% and gratuity is 19%.

Additional Services

 

Audio/Visual Equipment

Audio and visual equipment is available; however there is not a technician on site. Aramark is not responsible for any issues that arise from equipment therefore it is recommended that an AV company is hired to monitor technical audio/visual use.

Coat Check Services

Aramark will assist you in supervising your guests’ coats and bags. This service includes an attendant to watch over items that will not be released unless guest show a proper claim tag. Each attendant is $100.00 for a 4-hour period. Each additional hour is $20.00 per attendant. One attendant is required per 125 people.

Décor

Red Rocks Amphitheatre request that you do not have any confetti at your event

Event Extensions

Evening events running longer than four hours are subject to a labor charge of $2.00 per guest, per hour.

Ice Carving

Ice sculptures are an excellent addition to your food displays. Carvings can include ice bars, logos and art designs. Aramark will assist you in designing and ordering your ice sculpture. Price is dependent on size and complexity of sculpture.

Table Linen

Standard 85x85 table linens are available at $2.00 per person. Linens will be billed based upon usage. Buffet and stationed events will be billed for extra linens included on the buffet displays.

Tastings

Food tastings are available upon request prior to an event. Client will be responsible for associated costs.

Valet Services

Valet parking is available for an additional fee with our preferred valet company. Your sales executive will be more than happy to assist you with this services..

Wedding Cake Cutting

Aramark can cut and serve your wedding cake for an attendant fee of $75.00.

Public Events

ARAMARK is not responsible for the booking of public events at Red Rocks Amphitheatre. In the event that the building’s management schedules a public event, the client can reschedule their function for another available date, purchase tickets to the public event, or cancel. ARAMARK will refund all deposits received from the client in the event the function is cancelled for this reason.

Food Storage, Delivery and Production Services

If a client needs food preparation, heating, cold or dry storage, or other kitchen services, arrangements must be made no later than four weeks prior to the event. Chares will be based on the needs of the client
